How to email a coach or recruiter
The subject-line formula that gets a sorting coach to open, the eight-part anatomy of a first email, and a full example you can adapt. Written to be read on a phone between two practices, because that is where it will be read.
A recruiting inbox is a sorting problem. The coach on the other end gets more introductions than they can read, so your email’s job is not to impress — it is to be sortable in five seconds and worth opening in ten. Everything below follows from that.

The subject line does half the work
A coach should know who you are without opening the email. The formula:

The standout fact is whatever a coach in your sport would actually sort by: a stat, a height, a time, an academic average. One is enough. If your subject line reads like a motto (“Ready for the next level!”), it sorts as spam.
The eight parts of the email
- Greeting. Their name, formally: Dear Coach Thompson,. Never “To whom it may concern” — an email that could have been sent to anyone gets read by no one.
- Who you are. One sentence: name, position, class year, school or club, city. The coach is placing you on a map and a depth chart at the same time.
- Why them. One or two sentences proving you watched their program: their style, a result, a player whose path looks like yours. This is the line that cannot be copy-pasted into the next email, and coaches can tell.
- Why you. Two or three sentences of evidence, not adjectives. Stats, measurables, academics, level of competition. “Team captain, 3.8 GPA, moved up to AAA this season” beats a paragraph about work ethic.
- The link. Your portfolio carries the proof: highlights, academics, results, contacts, all in one place. Give the link once and say what it costs: “Everything is here, two minutes including tape.”
- Next step. Ask for something small and specific: feedback, or whether their roster has a need at your position for your class. Mention when you will follow up.
- Your coach’s contact. With their permission, name your current coach and note that their details are in your portfolio’s contacts section. A recruiter who is interested will always want an adult who has seen you play.
- Signature. Name, class year, position, phone, email. Not a quote block.

Dear Coach Thompson,
My name is Sofia Marchetti, a 2027 goalkeeper with Ottawa South United in Ottawa, Ontario. I have followed your program since your run to the national semifinal, and the way your back line plays out of pressure is the football I want to play.
This season I kept 11 clean sheets in 14 league matches at League1 level, was named team captain, and I carry a 3.8 GPA. My portfolio has my highlights, academics and full season results: [portfolio link] — two minutes, tape included.
Does your 2027 class have room for a goalkeeper? I would value any feedback either way, and I will follow up in ten days if I have not heard back. My club coach, Marc Tremblay, is happy to speak with you; his details are in the contacts section of my portfolio.

Notice what is not in it: no attachments, no pasted stats table, no paragraph about dreams. Under 200 words, and every sentence is either evidence or a next step.
After you press send
- Follow up once, about ten days later, three lines in the same thread. One follow-up reads as serious; three reads as a problem.
- Silence is often the calendar, not the answer. NCAA rules restrict when coaches can respond and meet you — the recruiting periods explain the sudden quiet.
